Scenario
In a Purchase Order Saved Search, we can modify the Criteria to trigger email alerts every time changes are made in the line item of a Purchase Order, except when they are closed or billed.
Solution
In order to trigger email alerts for line item changes on Purchase Orders, follow the steps a below:
- Under the Criteria tab > Standard subtab, add the following filters:
- Main Line = is false
- Line System Notes Fields… > Type = is Change
- Line System Notes Fields… > Field = is any of Amount, Quantity
- System Notes Fields… > New Value = is not Closed
- System Notes Fields… > New Value = is not Fully Billed
- Under the Results tab > Columns subtab, add the following fields:
- Line System Notes : Old Value
- Line System Notes : New Value
- Line System Notes : Field
- Line System Notes : Set by
- Under the Email tab,mark SEND EMAIL ALERTS WHEN RECORDS ARE CREATED/UPDATED box
- Under Email tab > Specific Recipients subtab, select Recipients and mark the Send on Update box
- Hit Save & Run.
