INVOICE PRESENTATION TEMPLATES


The Invoice Presentation Template (IPT) SuiteApp provides project-based businesses the flexibility to present data in multiple formats through invoice presentation templates. The SuiteApp also adds different levels of details related to charges on invoices.


Installing Invoice Presentation template [Answer ID: 104446]
• Navigate to SuiteApps in the Center tab. Select the Invoice Presentation template.

• Click the Install button.

• Click Install in the popup.

Setting up [Answer ID: 104447]
• Customization → Forms → Transaction Forms

• Select Customize beside the preferred Invoice template

• Set the following fields:

  1. Printing type – Advanced
  2. Print Template – Invoice Presentation Print template
  3. Email template – Invoice Presentation Email Template

• Check the ‘Form is Preferred’ box.

• Click Save

• Navigate to Setup → Company → NetSuite Account information → View Billing information


• Under the Add-on module tab, enable Charge based billing and Project Accounting and Management.


• Setup → Company → Setup tasks → Enable features

• Under the Company tab, enable the following features:

  1. Projects section → Projects
  2. Projects section → Project Management
  1. ERP General section → Multiple units of measure

• Under the Accounting tab, enable Accounting, A/R, Accounting periods

• Under the Transactions tab, enable Charge based billing and Billing operations


• Under the Employees tab, in the Time & Expenses section enable:

  1. Expense reports
  2. Pre-Employee Billing rates
  3. Purchase requests
  4. Time tracking
  • Under the CRM tab, enable the following features:
    o Customer Relationship Management
  • o Mail Merge

• Under the SuiteCloud tab, enable:
o Custom Records
o Advanced PDF/HTML Templates


o Client SuiteScript
o Server SuiteScript
o SuiteCloud Development Framework

Setting up Invoice Presentation templates [Answer ID: 104434]
• Navigate to Transactions → Sales → IPT Preference

• Select a subsidiary and select default invoice print and preview template and default email templates. Also, select the default invoice print and preview template and email template for the Parent company. Click Add and then Save

Creating Invoice Presentation templates [Answer ID: 104436]
Before proceeding with creating templates, it is important to know about the Charge type. You can configure details for the following charge types in the table:

  • Expense–Based
  • Fixed Date
  • Milestone
  • Project Progress
  • Purchase
  • Time–Based
    When you select a charge type, the default values corresponding to your selection populate in the other columns of the table. However, you can change the default values as necessary. The values act as the column headings of the table.
  • The Primary Grouping column in the table enables you to sort charges based on the selected value. The selected value populates in Column 1 by default and cannot be changed.
  • The Secondary Grouping column in the table enables you to display the subtotal for each group based on the selected value. The selected value populates in Column 2 by default and cannot be changed.
  • In columns 3 – Column 6, you can keep the default value or change it as necessary.
  • The Amount column 7 is fixed for all charge types.
  • Select a value other than None in one of the columns of the table to preview an invoice.
    After configuring the charge table, you can preview the template before saving the record. The preview mode only displays sample data of charges.

Creating Templates
• Navigate to Transactions > Sales > Invoice Presentation Templates > New

• Enter a suitable name and description for the template. Select subsidiaries applicable [not mandatory]. Check the Include Receipts box. [Answer ID: 104448]

• Under the View Options tab, select charge type. Here, we opt for the Expense-Based charge type.

• Click on the Preview tab


• Click Save

Viewing and Editing Invoice Presentation templates [Answer ID: 104437]
• Navigate to transactions → Sales → Invoice Presentation templates.

• Click Edit to edit the template and View to view the template

Note: If an invoice presentation template has dependent records, you cannot edit the Subsidiary field in the template.


Copying Invoice Presentation templates [Answer ID: 104438]
• Navigate to transactions → Sales → Invoice Presentation templates.

• Click Edit

• Click on Actions and select make a copy. Enter a name for the new copy and other details. Click Save if Preview is as per requirement.


Previewing the Invoice Presentation templates [Answer ID: 104442]
We can preview an Invoice Presentation Template when you create a new template, on customer, project, and invoice records. However, the data displayed on the template varies based on the record used to preview the template.


Note the following points when you preview a template:
• For a preview, SuiteApp uses the default invoice template set for a subsidiary on the IPT Preference page as shown before.
• If a subsidiary does not have a default invoice template, SuiteApp uses the default template used by the root subsidiary. If a default template is not set for both the subsidiary and the root subsidiary, a warning message appears.
• If the primary details (for example, address, telephone, and email) are unavailable for a subsidiary, the footer of the IPT will not contain the primary details during preview.
• To preview an invoice presentation template (IPT), you must select a value other than None in one of the columns on the charge table.
• If you have set the default templates for a subsidiary and then marked it as inactive, SuiteApp uses the templates for preview.


Assigning Invoice Presentation templates [Answer ID: 104439]
1. Assigning to customer
The IPT set as default for a subsidiary is used as a default for the customers associated with the subsidiary.
• Navigate to Lists → Relationships → Customers → New


• Enter the name and other details of the customer

• Under Classification, select Subsidiary.

• Under the Financial tab, in the accounting information section select the Invoice presentation template

• Click Preview


• Click Save

  1. Assigning to Invoice
    • Navigate to Transactions → Sales → Create Invoices

• Select a customer belonging to the Parent company or Australian subsidiary

• Enter Location

• Under the Items tab, select the item and enter details. Choose charge type as Expense-based. Click Add.

• Under the Billing tab, select the invoice presentation template

• Click Preview


• Click Save

Note: To generate an invoice without an invoice presentation template (IPT), set the Invoice Presentation Template field to blank.


Deleting Invoice Presentation templates [Answer ID: 104440]
• Go to Transactions > Sales > Invoice Presentation Templates

• Hover over the template that you want to delete.


• On the new icon, click Delete Record.

• Click OK to confirm the deletion of the template.

Printing and Emailing Invoices with Charge details [Answer ID: 104441]
• Navigate to Transactions → Sales → Create Invoices → List

• Select view for an invoice to which IPT has been assigned to

• Select Print by hovering over the print icon.

• The invoice is now printable in the IPT template format

• Under Actions, select Email

• The Email will be sent in the chosen IPT format.
