‘Copy from Week’ functionality in Timesheets

With weekly time tracking, we can track the hours we and other employees work for a week at a time.

Copying a Previous Week for a Weekly Timesheet
In addition to entering new time each week, we can also copy the time entries from a previous week onto the current week.

To copy a previous week for weekly time tracking:

  • Go to Transactions > Employees > Weekly Time Tracking.
  • Click Copy from Week. A window opens with the start date of the previous week’s time automatically populated.
  • In the Date field, you can accept the date automatically entered or use the date selector to select a different date.
  • Click Copy. Time entries within the selected week are copied to the weekly time tracking page currently being edited.
  • Continue to fill in the required information for this time. When you have finished, click Save.

To view a list of all weekly time tracking entries we have permission to view, go to Transactions > Employees > Weekly Time Tracking > List. This list displays the employee, date, hours, and approval status of each week.

Copy from week in locked period:

  • Create a Timesheet for any past week
  • Close the period in which the timesheet date falls
  • Open a new timesheet page, and copy the timesheet from the week in the locked period and Save.

Hence, we can copy from a week in the closed/locked period.

Note:

  • The customer and the service item should not be inactive to avoid errors at the time of copying the timesheet.
  • The whole week is copied from the week even if we select a date in the middle of the week.
  • If the timesheet has any memo associated with a particular date, the same will be copied along with the timesheet. This can be removed before saving if needed.
    This is only if the accounting preference ‘Copy from week options’ is set to Always copy hours and memos. We can set the preference as per our choice. If we select user selection, we will be asked if we want it to be copied when we click the ‘Copy from week’ button.
