Remove Values in Custom Lists While Preserving Data Referenced in Existing Records

Scenario

There are cases when a custom list value must be removed.

For Custom List/Record Fields using a Custom List as its source, it is not possible to remove obsolete values that are referenced by existing records. The best practice is to set the obsolete values to inactive.

To prevent data integrity issues, the system does not allow removing values that are already used on existing records. Values which are inactive will still be visible on existing records, but will no longer be available when selecting values in a Custom Field.

Solution

1. Navigate to Customization Lists, Records, & Fields > Lists2. Custom List Name: Click Edit3. Click Values4. Inactive: Enter Checkmark
Note: Always click OK once the Inactive checkbox is checked for all values that needs to be inactivated.5. Click Save
