Some users may need to ensure that Opportunities are transformed to Sales Orders when the status becomes Closed Won. This process can be performed automatically via Scheduled Workflow which will eliminate the time spent in creating Sales Order manually and prevent having unprocessed Opportunities.
1. Create a Saved Search
1. Navigate to Lists > Search > Saved Searches > New
2. Select Opportunity
3. Enter a Search Title
4. On the Criteria, add the following:
• Select Order Fields…
• Order Field: Select Transaction Number : select Empty
• Opportunity Status : is Closed Won (or what status you desire)
5. On the Available Filters, select Internal ID
2. Create a Workflow
1. Navigate to Customization > Workflow > Workflows > New
2. Enter Name
3. On the Record Type, select Opportunity
4. Execute as Admin must be checked
5. Release Status must be set to Testing for now, we can change it later to Released once we are sure that it is working well
6. On Initiation, select Scheduled
7. On Schedule, select Saved Search
8. On State 1, Select New Action
9. Select Transform Record
10. Set the following :
11. Afterwards, on the Right pane, click on the pencil icon
12. Click on Execute Now button
13. If this works, change the status to Released and wait for at least 30mins or more before the workflow finish the records that needs to be transformed
