Proposal Summary
This proposal outlines a customized solution for sending MSME confirmation emails to vendors. This solution will involve utilizing the email plugin feature for capturing the reply email from vendor.
Requirement
As per the current scenario, ATG Business Solutions Pvt Ltd- IN is sending MSME confirmation emails to vendors manually. This need to be automated.
A provision should be provided to send the MSME confirmation email to all vendors from NetSuite. Also, the reply from the client for corresponding email need to be recorded in NetSuite.
Prerequisite
- NetSuite Production account access for ATG Business Solutions Pvt Ltd- IN.
- NetSuite Sandbox account access (currently only one account is available).
Deliverables
- We will be creating custom button in NetSuite labelled ‘Send MSME Confirmation Mail’.
- On button click, an email will be sent to all active vendors in NetSuite.
- If the email field value is not present for a vendor, email will not be sent for that vendor.
- A dedicated email address will be generated for capturing reply email after enabling the Email Plugin. This email id will be used as “cc” when sending the emails to vendors.
- When a reply mail is received for the corresponding vendor; it will be captured using email plugin functionality and will be attached as a message in the communication tab of the corresponding vendor. Email attachments will be also considered.
- Attachments file types accepted are .jpg, jpeg, png, pdf
- If any errors occur a CSV file will be created with the error data.
Scope of Work
The scope of work includes sending MSME confirmation emails to vendors on a button click. Emails will be sent only to active vendors. And the reply email will be attached as a message record in the communication tab for the corresponding vendor.
Assumptions
- The email will be sent to all active vendors in NetSuite. No filter option is provided.
- The email content will be provided by ATG Business Solutions Pvt Ltd- IN prior to development.
- We assume that the email will be normal mail with some text message content.
- The development will be done in SB account and on confirmation will move to Production.
- Test vendors will be created in SB and Production for testing the development.
Exceptions & Limitations
- The maximum size of an email that can be captured is 25,000,000 bytes (25 MB). The maximum size of an individual attachment in an email is 10 MB. If the size of the email from the vendor is more than that, then that message will not be recreated in NetSuite since we cannot get that trigger in Plug in.
- Reply from the vendor cannot be captured if the vendor sends the reply without the Plugin CC email.
- The Plug-in will not be applied to previously received emails (prior to plugin being set to active).
