Leveraging Generic Resources in NetSuite for Flexible Project Planning

Effective project planning often requires flexibility, especially when specific resources are not yet identified. NetSuite offers the capability to use generic resource records as placeholders, allowing project managers and resource managers to make initial resource allocations and project task assignments even when the exact resource is not known. This article guides users through the process of creating and utilizing generic resource records for seamless project planning.

Creating a Generic Resource Record:

  1. Navigate to Lists > Employees > Generic Resources > New.
  2. In the ‘Name’ field, enter a meaningful name for the generic resource (e.g., Software Developer).
  3. If using Per Employee Billing Rates, select a billing class for the resource.
  4. If using Per Employee Billing Rates, enter a labor cost. This is helpful for budgeting when resources are not yet identified.
  5. Enter a price for the resource.
  6. Select a work calendar for the generic resource, which is crucial for project schedules and resource allocations.
  7. Click ‘Save.’

Utilizing Generic Resources:

  • Generic resources serve as placeholders for unidentified resources during project planning.
  • They can be assigned to project tasks and used in resource allocations.
  • Generic resources are particularly useful when creating project templates, allowing for flexibility in initial task assignments and allocations.

Considerations:

  • If custom roles are utilized for assigning generic resources, the ‘Employee Restrictions’ field on the custom role may impact the use of generic resources by certain employees.
  • In Resource Allocations, even if the option to show allocated resources for project task assignments is chosen, generic resources remain available for assignment even if not allocated to a specific project.

NetSuite’s generic resource feature provides a powerful tool for project managers, enabling them to plan and allocate resources even in the absence of specific personnel identification. This flexibility is invaluable during initial project stages or when creating project templates.
