Recipient Email ID Changes in Emails Generate from NetSuite

An email is generated from NetSuite as part of the approval workflow. The From Email ID contains a user name instead of a NetSuite domain and if any additional email communication carried out in that email thread, the From email ID changes to some other format.

When an email is sent from NetSuite, the “From” email address often includes the user’s name and email address, along with a system-generated email address. This is typically formatted as:

“User Name” (username@abc.com) <system@sent-via.netsuite.com>

This allows the recipient to see that the email is from Rajesh Gopinatha Panicker, but the actual sending email address is system@sent-via.netsuite.com. This helps manage email deliverability and security by routing the email through NetSuite’s servers.

When the recipient clicks “Reply All,” the email address changes to something like:

Rajesh Gopinatha Panicker <messages.9267067.6900.5265bc15ef@9267067.email.netsuite.com>

This is a unique, system-generated email address used by NetSuite to track email conversations and ensure replies are correctly routed back into the NetSuite system.

  • Initial Email: Shows the user’s name and email for recognition but sends through NetSuite’s system email for deliverability and security.
  • Reply-To Email: Uses a unique, system-generated email address to track replies and associate them with the correct records within NetSuite.

This mechanism ensures that all email interactions are properly recorded and managed within NetSuite, enhancing both functionality and security. If this behavior needs to be adjusted, it would typically require changes in your NetSuite email setup or configuration, possibly involving customization or consultation with NetSuite support.
