Using workflow Restrict Roles from Creating Records

Navigate to Customization > Workflow > Workflows > New

Basic Information:

Name: Enter Restrict Users (WF)

Record Type: Select Transaction

Sub Types: Select the Appropriate Sub Type

Example: Sales Order

Released Status: Select Released

Keep Instance and History: Select Always

Enable logging: Enter checkmark

Event Definition

  • On Create: Enter Checkmark
  • On View or Update: Enter Checkmark
  • Trigger Type: Select Before Record Load

Click Save

Workspace: Click State 1 

Bottom right corner: Click New Action

Click Return User Error

Basic Information:

Trigger On: Select Entry

Trigger On: Select Create

Condition:

Click on the cross-link

Note: Click Add as necessary.

Field: Select User Role

Value: Select XXXX

Note: Replace XXXX with the appropriate roles to restrict from the record.

Click Save

Text: Enter Error Message

Example: “You are not allowed to access the record. Please contact your system administrator.”

Click Save
