Managing Inactive BOM Revisions and Alerts During Sales Order & Invoice Creation

When working with Assembly Items in NetSuite, inactive inventory items within BOMs (Bill of Materials) can trigger alerts during sales order creation and invoice generation. Here’s a summary of how inactive BOM revisions behave depending on whether they have effective end dates, and how to manage them to avoid interruptions.

Scenario: Inactive BOM Revision Containing Inactive Inventory Items

Scenario 1: Inactive BOM Revision Without an Effective End Date

  1. Duplicating an Existing Sales Order:
  2. If the sales order includes an assembly item with an inactive BOM revision that lacks an effective end date, an alert will appear during the sales order creation, flagging the inactive item. The same alert will also trigger during invoice generation.
  3. Creating a New Sales Order:
  4. When creating a new (non-duplicated) sales order, no alert is shown during sales order creation. However, the alert regarding the inactive item in the BOM revision will appear when generating the invoice.

Scenario 2: BOM Revision with an Effective End Date

  1. Duplicating an Existing Sales Order:
  2. An alert regarding the inactive item will still appear when creating the sales order, but no alert will trigger during the subsequent invoice generation.
  3. Creating a New Sales Order:
  4. No alerts will appear during either sales order creation or invoice generation.

Conclusion

  1. To prevent unnecessary alerts during sales order and invoice creation, it is recommended to always set an effective end date when inactivating BOM revisions. Without an effective end date, inactive BOM revisions can cause alerts at multiple stages particularly when the inactivated BOM revision consist of inactive item, potentially disrupting the transaction workflow.
