For finance teams, maintaining accurate and timely bank reconciliations is critical for reliable financial reporting, fraud prevention, and cash flow management. Many businesses rely on NetSuite’s Match Bank Data feature to streamline this process. However, users often overlook a key step—submitting the matched or cleared transactions—which can prevent completion of the reconciliation.
Understanding the correct submission workflow and common errors can help avoid delays and ensure smoother month-end close processes.
Proper submission is a crucial step in NetSuite’s bank reconciliation process, as highlighted in the articles:
- “New to NetSuite | Unable to click Submit button in Match Bank Data page”
- “NetSuite Admin Tip | Bank Reconciliation using Match Bank Data and Reconcile Account Statement”
Many users mistakenly assume that matching or clearing transactions is sufficient to complete reconciliation. However, failing to click the “Submit” button leaves those transactions sitting in the Review tab. If not submitted, the transactions will not transfer to the Reconcile Account Statement, preventing users from completing the final reconciliation process.
Users may encounter the following error when attempting to submit:
“Submit Failed: NetSuite could not submit all your matched or user-cleared transactions due to a system error. Submit your transactions again. If the problem persists, contact Support.”
In addition to causes listed in SuiteAnswer 92824 | Resolving Bulk Processing Errors, this error also occurs when:
- The user attempts to submit more than 1,000 lines of matched and cleared transactions, particularly when these are generated through Auto-Create Rules. This often occurs when multiple transactions are automatically created in bulk.
Since the Auto-Create Rule and the Intelligent Transaction Matching feature are enabled, the system may automatically match and generate thousands of transactions upon submission. This process can take time, as the system needs to fully create and submit all transactions. As documented in SuiteAnswer ID 65777 | Matching Bank Data, “To avoid performance degradation or timeouts, if you have a high number of transactions, you should make smaller match groups rather than match all transactions at the same time.”
Recommended Workarounds:
- Break down the batch – reduce the number of matched and user-cleared transactions to under 1,000 per submission.
- Try submitting multiple times – keep clicking the Submit button until it succeeds.
Note: This limitation is logged under Enhancement #792449: Ability to successfully submit 1,000+ transactions created from Auto-Create Rule on Match Bank Data without encountering the “Submit Failed” error.
