Steps to Create a Dynamic Group in NetSuite

  1. Navigate to Group Creation
  2. Go to: Lists > Relationships > Groups > New
  3. Choose Group Type
  4. Select either Employee, Customer, Vendor, or Partner depending on who you want in the group.
  5. Since you want users of a certain role → choose Employee.
  6. Select Group Type = Dynamic
  7. On the setup page, you’ll see Group Type options:
  8. Static – you manually add members.
  9. Dynamic – members are pulled in automatically based on criteria.
  10. Choose Dynamic.
  11. Define the Criteria
  12. You’ll see a Criteria tab (similar to a saved search filter).
  13. xample: If you want all employees with a specific role:
  14. Field = Role
  15. Operator = is
  16. Value = [Select the Role]
  17. You can also add more filters like Subsidiary, Department, etc.
  18. Name and Save
  19. Give the group a clear name.
  20. Click Save.
  21. Use the Dynamic Group
  22. Now you can use this group anywhere recipients can be chosen:
  23. Scheduled reports
  24. Saved search email distributions
  25. Campaigns, etc.
  26. The system will always recalculate membership automatically whenever the group is used (so if a new employee is assigned that role, they’ll start receiving the email automatically).
