Preferences Module: Certifications tab: Configure Calendar

The Certification Calendar is where the schedule for Account Certification is configured. Because Certification is a cyclical process, it consists of several events that need to happen on a certain time schedule in order to be manageable and transparent.

These schedules can be different for different Certification Accounts, for example some accounts may need to be certified every period (monthly), while others only need to be certified every three periods (quarterly). Calendars are applied at the Account Group level, which is a concept covered in the last section of this Administration course.

To define the first Certification Calendar, click the Calendar button within Certification Preferences.

The left panel of the screen will be populated with a list of configured calendars. In a new ReconArt environment, this will be blank.

The right section presents a calendar view visualizing the due dates for the tasks to be performed for the current month.

ReconArt Note: It is not possible to create a Certification Calendar without first configuring Periods in the previous section of Certification Preferences.

To Create a Calendar:

Click on the  button. The system will open a screen to configure main calendar properties.

Calendar Fields:

Name: Mandatory field which will be visible to users. Used in later configuration to associate specific calendar with accounts.

Description: Short description of the calendar, in case it is needed.

Start from period: This is dropdown list of all configured periods.

Calendar Type: This is dropdown list with option ‘One time’ , ‘Monthly’. Generally this is set to “Monthly” though one-time certification calendars can be configured to track due dates for abnormal one-time certification activities. 

If the ‘Monthly’ option is selected, the following additional options are presented:

On every: This slider represents how frequently accounts following this calendar must be certified. For example, if the calendar is set to every “3 months”, the accounts following it will be certified quarterly.

Continue to: This can be used to set an end date for the calendar. Can stay empty, for no end date, which is generally how calendars are configured.

Holiday Calendar: Gives the Administrator the option to choose a holiday calendar that will govern the calculations for the work due dates which are configured in the lower part of the screen. Holiday Calendars must be configured separately in the General section of the Preferences Module, and once defined are not only associated with Certification but can be used for other ReconArt functionality such as scheduled automation. 

The lower part of the screen is separated in two tabs: Work Due By and Reminder/Overdue Notification.

Work Due By:

This controls the time, in days, counting from the end of the period, to finish the tasks for certification of an account: Import data, Certify balance, Review balance, and Approve balance.

In front of each task there is a slider that can be moved in order to set the due date.

Reminder/Overdue Notifications : When first selected, this tab will contain only a checkbox labeled “Allow Digest Email Notifications.”

In order to configure notifications, check the “Allow Digest Email Notifications checkbox.”

This will allow the system to send email reminders for certification tasks that need to be done or escalation emails  for overdue tasks.By dragging the slider to the left , the notifications will be set to occur before the due date for the task. Sliding to the right will set notifications to go out after the due date. How many times these reminder emails will be sent out can also be configured with a separate slider. Emails will be sent out once per day.Escalation emails can be sent to users in the Manager Role if accounts extend past the deadline without any activity.When all configurations are done, click the  button.
The new calendar will appear in the list of calendars on the left side of the screen, and the due dates from the calendar will appear in the main portion of the screen when the calendar is selected from the list.

To Edit a Calendar:

Highlight the calendar and click on the  button. The system will open the same screen as displayed during the initial configuration. Make any necessary changes and then click  to update the configuration.


To Delete a Calendar:

Highlight the calendar and click on the  button.

ReconArt Note: A Calendar that has been applied to accounts will be locked and cannot be deleted.
