Changing Role Permissions Using NetSuite’s Mass Update Feature

In NetSuite, managing permissions for various roles within an organization can be a time-consuming task, especially when updates need to be applied in bulk. Fortunately, NetSuite offers a convenient solution to this challenge through its Mass Update feature.

  1. Navigate to Mass Update: To access the Mass Update feature, navigate to Lists > Mass Update > Mass Update from the NetSuite dashboard.
  2. Select Roles & Permissions: In the Mass Update menu, locate and click on the “Roles & Permissions” link.
  3. Add/Edit Permissions: Click on the “Add/Edit Permissions” button to begin updating permissions for roles.
  4. Title of the actions: Give a descriptive title to the actions that is about to perform.
  5. Choose Permissions to Edit: Under the permissions field, select which permissions need to be edited for the roles. This could include permissions related to accessing specific records or transactions.
  6. Specify Permission Levels: For each permission selected, specify the level of access to be granted or modified under Level field.
  7. Define Criteria: Under the Criteria subtab, specify any conditions that should be met for the permissions update to apply.
  8. Select Fields to Show: In the Results subtab, select which fields wants to be included in the preview of the permissions update. This will help to verify the changes before applying them.
  9. Preview Changes: Click on the “Preview” button to generate a preview of the permissions update.
  10. Exclude Roles (Optional): If there are any roles for which the permissions update should not apply, then we can clear the checkbox next to their names in the preview list.
  11. Perform Update: Finally, click on the “Perform Update” button to apply the permissions update to the selected roles.
