Requirement 

License To Innovate would like to update Form and PDF Templates

There are 3 forms to be updated.

The fields that need to be added/removed on the forms as follows:

Credit Memo

  • Should look same as invoice

Purchase Order

  • Remove “Receive by and date” under Total
  • Change “Incoterm” to “Terms of Sale (incoterm)”
  • Add SKU
  • Change “Item” to “Item Description” 
  • Add free form text field under line items, label as “Notes:”
  • Add 2 signature fields
    • “Approved by Seller_________________________ Date___________”
    • “Approved by Buyer, <subsidiary name> __________________________________Date____________”

Proforma Invoice

  • Should look same as invoice
  • HTML form
  • Titled “Proforma Invoice”

The Proforma Invoice is currently used with Sales Order transactions, it is not required for all Sales Orders.  LTI prefers to have it updated for both subsidiaries, it can remain within the Sales Order transaction.

Packing Slip

  • Should look same as invoice
    • Remove Due Date
    • Remove Values
    • Remove Sales Rep
    • Remove currency
    • Remove bank instructions
    • Remove phone number
    • Add Tracking#
    • Add “Qty Shipped”
    • Add “Qty B/O” (to show items ordered but not included in shipment)

The HTML layout that is provided with our package is fine, LTI needs to add/change a few of the fields in each form.  Also they want both subsidiaries to have the same forms with the same fields, the only difference would be the subsidiary name and address.

LTI does not want to use the non-HTML Basic form.

Our Solution

Assumptions

  • LTI would like to use similar Transaction forms and the Advanced PDF template(PDFs) in Netsuite for both the subsidiaries for the mentioned records by removing/adding some additional fields. The PDF layout will also be also same except Subsidiary Name, Logo, and address by including some additional fields in the currently available Netsuite PDF templates.

Description of Task

This requirement can be achieved by customizing the custom form of the following transaction by adding the Fields

  • On Credit Memo Form
    • Will add one free form Text field for Notes 
  • On Purchase Order Form
    • Will add one free form Text field for Notes

Also, need to customize the Advanced PDF templates of the following transaction PDF to align the subsidiary Logo and the corresponding address

Credit Memo

  • Will create a same PDF template by reusing the Invoice PDF template 
  • Exclude the Specific field such as Ship To, Terms, Due date, and Wire Instruction etc. which are not applicable to credit memo transaction

Purchase Order

From the existing Purchase order PDF template, will

  • Remove “Receive by and date” under Total
  • Change “Incoterm” to “Terms of Sale (incoterm)”
  • Add SKU
  • Change “Item” to “Item Description” 
  • Add free form text field under line items, label as “Notes:”
  • Add 2 signature fields
    • “Approved by Seller_________________________ Date___________”
    • “Approved by Buyer, <subsidiary name> __________________________________Date____________”

Note: Signature and Date should be added manually on the Paper Print

Proforma Invoice

This requirement can be achieved by adding an additional button on Sales order record if the Sales Order subsidiary is either inPOWERED Lights LLC or nCamp.

Upon button click, will generate a Proforma Invoice PDF which looks similar to Invoice PDF except the PDF Tile

  • It will Titled as “Proforma Invoice”
  • Data will be fetched from Sales Order record
  • Exclude the Specific field such as Due date, etc which are not applicable to Sales Order record

Packing Slip

  • Should look same as invoice
    • Remove Due Date
    • Remove Values
    • Remove Sales Rep
    • Remove currency
    • Remove bank instructions
    • Remove phone number
    • Add Tracking#
    • Add “Qty Shipped”
    • Add “Qty B/O” (to show items ordered but not included in shipment)

Note

  • Data that needs to populate onto the PDF should be available on NetSuite within the current record/next related record. Otherwise, we need some common logic that can be applied to generate the data on PDF
