Contacts as recipients in Reports

Scenario

For security reasons, as of February 2024 you can only select email addresses associated with your NetSuite contacts as recipients for a scheduled report. If you want to send the report to an email address that is currently not associated with a contact, you can create a new contact and include it in a contact group.

 

Solution

  1. Create a Contact Record
  2. Navigate to Lists Relationships > Contacts > New
  3. Name: Enter Name
  4. Email Address: Enter Email Address
  5. Click Save
  6. Create a Contact Group
  7. Note: You may select Dynamic if your recipients are changing. But for this example, we will use Static.
  8. Navigate to Lists Relationships Groups New
  9. What kind of members would you like to include?: Select Contact
  10. Click Continue
  11. Name: Enter Name
  12. Click Members
  13. Group Members: 
  14. Name: Select Name
  15. Note: This is the Contact record created from Step1. 
  16. Click Add
  17. Click Save
  18. Schedule the Report
  19. Navigate to Report Recent Reports
  20. Click Report
  21. Click Calendar icon
  22. Note: Located in lower right corner.
  23. Click Recipients
  24. Copy Others: Select Group
  25. Note: This is the Group created from Step2. 
  26. Click Add
  27. Click Save
  28. Note: Once the group is added to the list, you will notice that the Email field is blank. This is expected.
