Create a Saved Search for Unapplied Vendor Prepayment

Vendor Prepayments represent advanced payments to Vendors which has to be applied in the future. It is important that users keep track of Vendor Prepayments with unapplied portions to prevent users from making Payments to Bills that are supposed to be applied to a Vendor Prepayment. As of the moment, there is no field that can be pulled up from the Vendor Prepayment record that can show the Open or Unapplied portion.

  1. Create a Vendor Prepayment Transaction Saved Search
    1. Navigate to Lists Search Saved Searches New
    2. Click Transaction
    3. Search Title: Enter Title
    4. Available as a Dashboard View: Enter Checkmark
    5. Click Criteria
    6. Click Standard
    7. Filter:
      • Select Type
        1. Type: Select Any Of
        2. Select Vendor Prepayment
        3. Click Set
      • Select Status
        1. Status: Select Any Of
        2. Box Below: 
          • Select Vendor Prepayment:Paid
          • Select Vendor Prepayment:Partially Applied
        3. Click Set
      • Select Main Line
        1. Select No
        2. Click Set
    8. Click Results
    9. Click Columns
    10. Click Remove All
    11. Field:
      Note: For every required field use the drop-down menu to select it and once adjusted click Add if needed.
      • Select Date
      1. Summary Type: Select Group
      • Select Document Number
      1. Summary Type: Select Group
      • Select Name
        • Summary Type: Select Group
      • Select Account
      1. Summary Type: Select Group
      • Select Memo
        • Summary Type: Select Group
      • Select Amount
        • Summary Type: Select Group
      • Select Formula (Currency)
        • Summary Type: Select Maximum
        • Formula:Enter {amount}+{applyingtransaction.amount}
        • Custom Label:Enter Unapplied Amount
    12. Click Save & Run
