CSV Response: “That Record Does Not Exist” When Updating Prospects and Contacts Together Through CSV Import

User update Prospects and Contacts together through CSV Import, and receive CSV Response: “That Record Does not Exist” (E.g. Phone Number of Prospects and Contacts).

Expose Internal ID:

  1. Navigate to Home > Set Preferences
  2. Click General tab
  3. Defaults section: 
    • Check Show Internal IDs checkbox
  4. Click Save

Create Prospect Saved Search:

  1. Navigate to Lists > Search > Saved Searches > New
  2. Select Customer
  3. Search Title: Enter a Title
  4. Click Criteria tab
  5. Click Standard subtab 
  6. Filter:
    Always click Add once Field selected and adjusted as needed.
    • Select Stage
      Saved Customer Popup:
      • Stage: Select Any Of
      • Select Prospect
      • Click Set
    • Add other required fields
  7. Click Results tab
  8. Click Columns subtab
  9. Field:
    Always click Add once Field selected and adjusted as needed.
    1. Select Company Name
    2. Select Phone
    3. Select Contact Fields…
      • Saved Customer Search Popup:
        • Contact Field: Select First Name
        • Click Add
    4. Select Contact Fields…
      • Saved Customer Search Popup:
        • Contact Field: Select Internal ID
        • Click Add
    5. Select Contact Fields…
      • Saved Customer Popup:
        • Contact Field: Select Phone
        • Click Add
  10. Click Save & Run
  11. Click Export – CSV button
  12. Save the CSV File
  13. Open Saved CSV File and add necessary information (E.g. Contact First Name, Contact Internal ID, Contact Phone, etc.)
  14. Save As CSV File

Import CSV File back to NetSuite Account:

  1. Navigate to SetupImport/Export > Import CSV Records
  2. Import Assistant
    Scan & Upload CSV File section:
    1. Import Type: Select Relationship
    2. Record Type: Select Prospects and Contacts Together
    3. CSV File(s): Select One File To Upload radio button
    4. Click Select button
      • Locate the updated CSV file (Step#2)
      • Click Open
    5. Click Next
    6. Import Options
      • Data Handling section: Select Update
    7. Click Next
    8. Field Mapping section, map the following fields:   
    9. CSV File FieldsNetSuite FieldsInternal IDProspect : Internal IDCompanyProspect : Company NameProspect PhoneProspect : PhoneContactProspect Contact : First NameContact PhoneProspect Contact : Main PhoneContact Internal IDProspect Contact : Internal ID
    10. Click Next 
    11. Import Map Name: Enter Import Name
    12. Click Save & Run
