Scenario
When a workflow is used on a record, various details, such as Workflow Name, Current State, Date Entered Workflow, Date Entered State etc., can be found under the Active Workflows subtab of the record.
It is also possible to display these details in a Saved Search results using the Workflow fields… (e.g. Workflow : Current State, Workflow : Last State, etc.).
Solution
- Navigate to Lists > Search > Saved Searches > New
- Click Transaction
- Click Results
- Field:
- Note: For every required field use the drop-down menu to select it and once adjusted click Add if needed.
- Select Workflow Fields…
- Workflow Field: Select desired information
- Example: Date Entered Workflow
- Click Save
Note: A workflow has to be still active on the record by having checked the Do Not Exit Workflow check box in the last workflow State to be able to display any results.
If the Do Not Exit Workflow check box is unchecked, a workflow exits the record, and the details are not stored under the Active Workflows sublist anymore and therefore unable to be displayed in Saved Search results.
When a Saved Search is run on a record with workflow exited from that record, a note saying “No Search Results Match Your Criteria” appears instead of Saved Search results.
