Mapping purchase order item lines to item receipt order lines is a crucial task for businesses, especially when it comes to obtaining the required serial lot numbers for integration with systems like BlueScope. While loading records in scripting may not be recommended for mass data processing, there are alternative solutions available that are both efficient and scalable. This article presents a solution that utilizes custom fields to streamline the mapping process and enable seamless retrieval of relevant information in saved searches.

When working with purchase orders and item receipts, the standard functionality does not provide direct access to order line details in saved searches. This limitation necessitates the implementation of a workaround that allows for the retrieval of order line information without resorting to loading records in scripting

The Solution:
To address this challenge, we can leverage custom fields within the corresponding item receipt or item fulfilment records. By creating a custom line field and configuring its field ID as the order line, we establish a link between the transaction records and their associated order lines. This custom field acts as a conduit for capturing and storing the necessary mapping information.

Here’s how the solution unfolds:

  1. Create a Custom Line Field:
    In NetSuite, navigate to the field setup for the item receipt or item fulfilment record. Create a custom line field that will serve as a container for the order line information. Ensure that the field ID corresponds to the order line identifier.
  2. Configure Field Visibility:
    To maintain data integrity and avoid cluttering the user interface, it is recommended to hide the custom line field from the standard transaction forms. This step ensures that the field remains hidden from normal usage but still holds the critical mapping information.
  3. Populate the Custom Field:
    Once the custom line field is in place, you can programmatically populate it with the relevant order line information. This can be done during the creation or update of the item receipt or item fulfilment record. By retrieving the corresponding order line ID, you can populate the custom field with the necessary mapping data.
  4. Utilize in Saved Searches:
    With the custom line field populated, you can now incorporate it into saved searches. By including the custom field in the saved search configuration, you enable the retrieval of order line information alongside other desired data points. This approach eliminates the need to load records in scripts for mapping purposes.
