In the manufacturing industry, notifying the purchase order requestor when items are received is useful due to the complex and interconnected nature of manufacturing processes. It is essential for maintaining production schedules and ensuring optimized supply chain performance.
Currently, in NetSuite, the ability to automate an email to the purchase order requestor when the item is received is not available in the current version of NetSuite and is logged under Enhancement 106088 Item Receipt > Send Email Notification. As a workaround, users can create a transaction saved search that will send email alerts to specific recipients.
Here are the steps to follow to create the Transaction Saved Search:
1. Navigate to Reports > Saved Searches > All Saved Searches > New
2. Select Transaction
3. Under the Criteria tab > Standard subtab, add the following filter fields:
Type = is Purchase Order
Main Line = is true
4. Navigate to Results tab > Column subtab, add or remove your preferred fields to show up on the Results page but include: Requestor Fields… = Email
5. Under the Email tab, mark the “Send Email Alerts When Records are Created/Updated“
6. Under the Email tab > Recipients from Results subtab > select a Requestor Fields… = Email
7. Mark “Send on Update” and “Show Recent Changes” checkboxes
8. Add a Search Title
9. Click Save & Run
With this workaround, Purchase Order Requestors will receive Transaction Saved Search Email Alert when the Purchase Orders are updated with Item Receipts.
