Office 365 integration

Proposal summary

Proposal for office 365 Integration. This proposal discusses how to integrate the Outlook calendar. 

Requirement 

Integrate Netsuite with the office 365 calendar. The proposal covers our previous experience in office 365 and  Netsuite integration.

Our Solution

Prerequisites

• Connect your Microsoft 365 account with Microsoft azure. (Subscribe Microsoft Azure with the same email address which is used in the office 365 administrator login.)
• Share the azure credential with us.
• We have to set up an app in azure for integration purposes with relevant permission according to integration requirements.

Description of the task 

We have already completed office 365.

1. Outlook calendar. 
2. Outlook mails.
3. Outlook contact.

For calendar integration from office 365 to Netsuite.

1. The integration will be worked in a specific time period.
2.  In a day,  two times the sync will fetch the activity details from the outlook calendar.
3. The same events will be created in Netsuite. 
4. Update if modified events will be updated in Netsuite when updating the event in outlook.

For mail integration from office 365 to Netsuite.

1. The Integration will be worked in a specific time period.
2. In a day,  two times the sync will fetch the email details from the user’s mail mailbox.
3. We will create a message record in Netsuite and attach it with an employee record. 
4. Limitation: Attachments are not able to be attached in message records.

For Contact integration from office 365 to Netsuite.

1. The Integration will be worked in the specific time period.
2. In a day,  two times the sync will contact details from Office 365.
3. We will create a contact record in Netsuite using the data fetch from the contact. Always handle the duplicate contact creation in Netsuite.

Assumptions

1. For the calendar integration, we need mapping over NetSuite event records and calendar event data for setting data in record.
2. Historical events and mail do not migrate.

Risks

Calendar integration

• The organizer must be an employee in the Netsuite.
• We will create event for this organizer
•  There is no end date field in Netsuite. If the event duration is more than one day we can’t set it in a single event.
• The attendee’s name or email id must be a peasant in Netsuite. 

Mail integration

• The sender must be an employee in the Netsuite.
• We will create a message record for this employee.
