Proposal for Automatic Creation of Sales Order for Photography item

Requirement.

The client would like to create an internal Sales Order automatically based on a saved search that pulls from an originating Sales Order. The saved search pulls a list of Sales Orders where we have checked that the Photo Item is true on the line. What this will allow us to do is automatically create an internal order for items that need photography.

Proposal Summary 

This proposal outlines a comprehensive solution for automatically creating the internal sales order for the photography item. The proposed solution involves leveraging NetSuite’s functionalities along with customization to automate the process.   

Requirement 

Touchstone would like to create sales orders automatically for the photography item in NetSuite. This involves the development and integration of a solution that streamlines the process, enhancing the efficiency creation of sales orders. The primary objective is to leverage technology to automate the generation and delivery of sales orders, contributing to a more seamless and timely transaction management within the organization. 

Prerequisites: 

  • We will create a custom column field named “Internal Sales order” in the sales order item line. 

 

Deliverables 

To achieve this functionality we will develop a tailored custom solution designed specifically for our needs. Initially, we will be creating a custom column field in the sales order item line named “Internal Sales order” to attach the sales orders created for the photography item. We will develop a custom solution that will fetch all the sales orders with the column field “Internal Sales orders” is empty and check box “Photo Item” is checked in the item line. Depending on these conditions, the solution will proceed to generate an internal sales order for these corresponding items. Once the internal sales order is created then the sales order link will be attached to the custom column field “Internal Sales Order”.Once the sales order is created and attached in the item line then no new sales order will be created for these items. 

 

Note: 

  • We will be creating separate sales orders for the item lines whose “Photo item” check box is checked. 
  • We will be using the sales order form TMG – Online Sales Form – Lean 
  • The customer of the new sales order will be the customer from the originating record. 
  • Item and related information will be populated from the originating sales order. 
  • The quantity in the new sales order will be always one and the amount will be 0. 
  • Once the sales order is created and attached for the “Photo item” then no new sales orders will be created. 
  • Mandatory fields need to be filled in during the creation of a sales order(Program name, Department). 
  • The status of the sales order will be always “Pending Approval” 
  • Photography cannot be added to the “Ship Via” or “Shipping method” as it is a standard list. 

 

 

 

 

Assumptions 

  • The details of mandatory fields will be provided prior to the development. 

 

 

Risks 

  • If the sales order in the custom column field “Internal Sales order” is removed then new sales order will be created for the item. 
  • The new sales order will only created if the column field “Photo item ” is checked and the “Internal sales order” field is empty in the sales order item line.
