Proposal For Automatic Lot Number Generation Within WMS in EST time

This proposal covers the method for Automatic Generation Lot Numbers within NetSuite WMS for No Blue. This proposal also covers the engagement scope of Jobin and Jismi It Services LLP, as official implementation partner Of Oracle NetSuite.

Requirement

Client would like the lot numbers to be generated automatically in NetSuite in US date format. Lot numbers automatically generated should not be used more than once. The ideal process here is that the PO (Purchase Order) and IS (Inbound Shipments) will be received in WMS and the lot number value will be automatically populated in the “Scan/Enter Lot” field in the “Enter Lot” page in the SCM Mobile App.

Solution

Prerequisite

Need access to the sandbox and production environment of the Client Account for development, testing, and deployment

Description of the Task

The requirement can be achieved by creating a custom Process for the Purchase Order Receiving, and Inbound Shipment Receiving Pages. We will deploy an additional custom Action on the Enter Lot Number page on each receiving page. The action will generate the Lot number by combining the current EST time with timestamp appended at the end. Timestamp has been added to the end to maintain the uniqueness of the lot number generated.

Lot Number format:  MM/DD/YYYY-timestamp

The generated number will be set on the SCAN/ENTER LOT field on Enter Lot page on WMS.

Assumptions

  • This automation is applicable only for Lot Number Item Received for Purchase Order, and Inbound Shipment from the WMS environment
  • EST Time Zone is used for Lot generation of all entities to avoid the same lot number generation due to the user’s local time
  • The custom action will take place on every load of the “Enter Lot” page. So, if a user stops the session with the next page of the Enter Lot page and then restores the session again, or if the user moves forward/backward from this screen and then navigates back to the lot number screen, the lot number is automatically generated again based on the current time
  • The standard Receiving Page option on the WMS can be made inactive once the new Receiving process confirmed by customer

Risks

  • Users should not use the numbers with the same rule for the Lot number when receiving the item from an environment other than WMS. If they are using the same pattern, then it will create issues on unique numbering
  • Lot number auto generation will be applicable only for the Lot Number item received through WMS
  • The custom action will take place on every load of the “Enter Lot” page. So, if a user stops the session with the next page of the Enter Lot page and then restores the session again, then the Lot Number setup on the previous session will remain as a Lot number. However, if the user goes back to the previous page (Enter Lot page), then the number will get updated automatically to the current timeframe.
  • We are not considering the transfer orders for the customization. In the case of Transfer Order Receiving, we can receive only the Lot Numbered items that are fulfilled for the corresponding Transfer Order while receiving. So even if we auto populated the Lot number on the Transfer order Receiving screen on WMS, NetSuite will not allow us to proceed further with a new lot number since we are trying to receive an item that is not fulfilled. So, we will skip the customization for Transfer Order
