Proposal Summary
This proposal covers the scope to Developing Financial Reports and Dashboard for various roles across IPPF Secretariat.
Requirement
Develop a comprehensive set of reports and data dashboards for our users who take up new roles in the realigned structure that is being established at IPPF secretariat.
Objectives
The objective of this project is to configure role-based dashboards with a comprehensive NetSuite dashboard that provides real-time visibility into IPPF business metrics, key performance indicators (KPIs), and critical data points that provide relevant, actionable insights to users based on their specific roles and responsibilities. Additionally, we aim to customize portlets to align with your specific reporting requirements, enabling you to make informed decisions and drive growth.

Our clients encountered several challenges prior to adopting NetSuite dashboards and custom reports. By leveraging NetSuite’s robust features, they achieved improved visibility, enhanced decision-making, and increased operational efficiency. Based on the requirements, our team developed and customized dashboards, reports, and charts using NetSuite’s Suite Analytics and Suite Builder.
We have developed a customized workbook for our client. This powerful analytical tool within the workbook performs additional calculations, data manipulation, formatting, and analysis. Workbooks provide a highly interactive and customizable environment for conducting data analysis and generating reports, allowing for a more personalized and tailored approach to data analysis and reporting.
We created custom RSS/Atom Feeds to publish information to users in Dashboard Portlets. In this case, RSS/Atom Feed portlet displays links to HTML pages stored in the File Cabinet with brief descriptions of every page linked. Below screenshot displays the sample that we have done.
We have developed a Portlet script that creates a Dashboard view of deals based on CRM status. Attached are some sample images for reference.
NetSuite Dashboards
NetSuite Dashboards give a “birds-eye view” of our business metrics inside NetSuite. It provides a visual workspace that gives users instant, uninterrupted access to accurate information.
A portlet is essentially a visual plug-in that we can add and arrange on NetSuite dashboard to highlight specific information. It gives a snapshot of the business, and there are plethora of portlet options in NetSuite that allow tailoring and improving our day to day experience.
The followings are the essential dashboard Portlets for IPPF business needs.
Trend Graph Portlet: Displays the differences in data for different time intervals for multiple KPIs (Max 3) in a single chart. We can add up to five Trend Graph portlets to our dashboard.
Key Performance Indicators Portlet: Key Performance Indicators (KPIs) provide summaries of your Forecast, Pipeline, Orders, Cases, and Financial data right on your dashboard. You can use standard KPIs or create custom KPIs based on saved searches.
KPI Scorecard Portlet: KPI Scorecards display a performance scorecard which includes numerous types of comparisons between various KPIs over different date ranges or accounting periods.
Reminders Portlet: We can set up reminders for important data or tasks in NetSuite. Reminders appear in the Reminders portlet on dashboards. When we click a reminder in the portlet, we will go to a page with more details where we can take action as necessary.

Custom Search: We can display the results of saved search, including columns, filters, and highlights.
Approach and Methodology
Requirement Gathering: We will collaborate with IPPF team to understand the roles and responsibilities across your organization and will identify the key metrics, KPIs, and data sources relevant to each role, ensuring that the dashboards and reports cater to their specific needs.
Dashboard Configuration: Based on the gathered requirements, we will configure role-based dashboards within NetSuite. These dashboards will present relevant data visualizations, charts, graphs, and tables, providing users with a comprehensive view of their specific areas of responsibility. The dashboards will be designed to facilitate data exploration and allow users to drill down into the details when necessary. We will first add the portlets to the home dashboard. In case there are limitations in adding portlets to the home, we can resort to using custom Dashbord tabs. By including the required portlets and their corresponding counts, we can ensure that all the necessary data and reports are added for a specific role.
Portlet Customization: We will customize the portlets within the dashboard to display the specific information you require. This includes selecting visualization types (charts, graphs, tables) defining report filters and parameters, and integrating your branding elements to maintain consistency.
To incorporate the trends into the dashboard, we will start by creating the necessary saved searches report based on the given specifications. If the number of trend graph portlet exceeds the maximum limits so the additional trends will be added as portlets for Key Performance Indicators and the KPI Scorecard. The Key Performance Indicators portlet will feature clickable trend graph icons that will display popup trend graphs.
For displaying efficiency and other data on the dashboard, we will develop a custom search and add it to the custom search portlets.
To track the number of projects within a specific date range, we will create a saved search report. This report will be added to either the Key Performance Indicators portlet or the KPI Scorecard portlet.
We will utilize the reminder portlet in NetSuite to stay updates on the important data. Reminders will appear in the Reminders portlet on the dashboard. Clicking on a reminder will redirect us to a page with more details, where we can take appropriate action. We will also apply highlighting rules to the Reminders portlet, indicating values that exceed specified thresholds.
Customized Reports: In addition to dashboards, we will customize reports to align with the requirements of each role. By defining report templates, filters, and parameters, we will ensure that users can generate reports that offer valuable insights directly related to their responsibilities. The reports will be designed to be easily accessible and exportable for further analysis.
We will first check if any standard reports meet the requirements. If they do not meet expectations, we will customize report accordingly. If necessary, we will recreate the report using a saved search report to ensure it aligns with the given specifications.
If there are limitations in fetching the data from a saved search report, the next step would be to utilize the Advanced Analytics Workbook. It will provide a flexible and user-friendly interface for analyzing and presenting data using charts, graphs, and tables. Users can drill down into details, apply filters, and perform calculations to gain insights.
We will add the report as a shortcut portlet on the dashboard. This will allow easy access to the report without navigating through the system.
Security and Permissions: To maintain data privacy and protect sensitive information, we will implement robust security measures. Role-based permissions and access controls will be set up within NetSuite, ensuring that each user can only access the dashboards and reports relevant to their role.
Training and Support: We understand the importance of user adoption and proficiency. Therefore, we will provide comprehensive training sessions and detailed documentation to enable users to effectively navigate and interact with the role-based dashboards and reports.

Assumptions
- We will publish the dashboard and restricted access to prevent the removal of existing data. However, we will provided permission and training to add and rearrange the contents of the dashboard.
- The access to the reports will vary depending on the role permissions and restrictions based on subsidiaries and segments.
