1. Navigate to Saved Searches
- Go to Reports > Saved Searches > All Saved Searches > New.
- Select Transaction as the search type.
2. Set Basic Criteria
- In the Criteria tab, add filters to narrow down the search to journal entries. For example:
- Type is Journal.
- Main Line is True (to include only the main transaction lines).
3. Add Specific Criteria for Voiding and Reversal Journals
To identify voiding and reversal journals, include criteria that mark these entries:
- Voiding Indicator: If available, use a specific field that indicates a voiding journal. For example:
- Memo contains Void or Voided.
- Reversal Indicator: Include a filter to identify reversal journals. For example:
- Is Reversal is True (if available).
4. Customize the Results
In the Results tab, select the fields you want to display in the search results. Include a column to indicate if the journal is a reversal:
- Date
- Account
- Memo
- Created From
- Amount
- Status
- Is Reversal (if available) or Reversal Date
5. Save and Run the Search
- Once you’ve configured the criteria and results, save the search by giving it a meaningful name, such as “All Journals with Voiding and Reversal Indicator”.
- Run the search to display the list of journal entries.
Exporting and Filtering in Excel
6. Export the Results to Excel
- After running the search, click the Export button to download the results as an Excel file.
- Open the downloaded Excel file.
7. Filter and Remove Voiding and Reversal Journals in Excel
- In Excel, use the filter feature to identify and remove voiding and reversal journals:
- Apply Filter: Select the header row and apply filters (usually found under the Data tab).
- Filter by Is Reversal: In the column for Is Reversal, filter out entries where the value is set to Yes.
- Filter by Memo: In the Memo column, filter out entries containing Void or Voided. (OPTIONAL)
8. Remove Filtered Rows
- Once the filters are applied, select the visible rows (which are the non-voiding and non-reversal journals) and copy them to a new sheet or file.
- Alternatively, you can delete the rows with Is Reversal set to Yes and those containing Void or Voided in the Memo column.
