Resolving Employee ID and Name Display Issues in NetSuite

When importing employee records in NetSuite, some users encounter a common issue where, even though records are imported successfully, the Employee ID is incorrectly displayed as the Name in list views and saved search results. This issue can create confusion, as the fields do not display as intended for efficient sorting or searching.

To resolve this issue, follow these steps to ensure that the Employee ID and Name fields populate correctly.

Step 1: Enable Auto-Generated Employee Numbers

  1. Navigate to Employee Preferences:
  • Go to Setup > Company > Auto-Generated Numbers > Employee.
  1. Set Auto-Generated Numbers for Employee Records:
  • Ensure that Employee auto-generated numbers are enabled. This setting helps NetSuite manage Employee IDs efficiently and allows for consistent ID assignment across all imported records.
  1. Allow Employee ID Override:
  • Find the Allow Override checkbox next to the Employee ID field setting and check it. This step is critical as it allows for manual adjustments to Employee IDs during import.

Step 2: Update Employee ID Through CSV Import

  1. Prepare Your CSV File:
  • Ensure that your CSV file includes both the Employee ID and Internal ID.
  1. Run the CSV Import:
  • Go to Setup > Import/Export > Import CSV Files.
  • Follow the CSV import process, mapping the Employee ID and the Internal ID to the appropriate ID field in NetSuite.
  1. Complete the Import:
  • Once imported, verify that each employee’s Employee ID is now populated correctly in the Employee ID field, while the Name field displays the full employee name.
