Resolving Search and Display Issues with NetSuite Customer IDs

NetSuite’s flexibility in customizing customer IDs can sometimes lead to challenges, especially when auto-generated numbers and override permissions come into play. This article addresses an issue where updated sequences render some existing customer records unsearchable, impacting global and transaction search functionalities. The solution involves correcting the Customer ID format and ensuring seamless accessibility.

When auto-generated numbers are updated with new sequences and the Customer ID field is populated with only the Customer number, existing records without the customer’s name in the Customer ID field become unsearchable. Additionally, the Customer’s name disappears in the Customer List.

The solution involves updating the Customer ID format to include the number and the name. This ensures proper search functionality and maintains consistency in the Customer List. The process is streamlined by customizing the list view, exporting the data, and then re-importing it to update customer records.

Step-by-Step Resolution:

(A) Customize Customer List View:

  1. Navigate to Lists > Relationships > Customers.
  2. Click on the ‘Customize View’ button.
  3. Under the Results tab, add ‘Company Name.’
  4. Click ‘Save.’

(B) Export Customized Customer List View:

  1. On the customized Customer List view page, click the Excel icon.
  2. Filter the Excel file only to include customers without a Name.
  3. Concatenate ID and Company Name (this becomes the new Customer ID).
  4. Copy and paste the new column as values.
  5. Save as a CSV file.

(C) Import CSV File to Update Customer Records:

  1. Navigate to Setup > Import/Export > Import CSV Records.
  • In the Import Assistant: Import Type = Relationships
  • Record Type = Customers Only
  • Upload the CSV file
  • Data Handling = Update
  • Field Mapping: Internal ID = Customer: Internal ID
  • Customer ID = Customer: Customer ID
  1. Save and Run the import.
