Resolving the error message “The following Bin numbers are not available: Bin_Name”

When trying to ship an order, the user is encountering the following error message: “The following Bin numbers are not available: Bin_Name”.

There are two reasons why the error is happening:

1.User created a Bin Putaway Worksheet then Inventory Worksheet within the same day. The Inventory Worksheet’s transaction order is set to last transaction in day and the new quantity for the Item was set without putting the Inventory Detail. Hence, the location of the Item has on hand and available qty, but the bin numbers don’t have on hand and available qty.

To resolve, assign Bin Numbers to the Item/s:

  1. Go to Transactions Inventory Bin Putaway Worksheet
  2. Date: Enter Date
  3. Location: Enter Location
  4. Quantity: Enter Quantity
  5. Units:Select Units
  6. Click Inventory Detail
    • Quantity: Enter Quantity
    • Bin: Enter Bin
    • Click OK

7. Click Save

2. Required quantity may not be available in the stated bin. To check if you have enough bin quantity, you may run the following searches.

Search A:List of items to be fulfilled

Search B: Saved Search to check  the bin on hand/available if one item is being maintained on multiple bins.

Export the files to excel

Compare the available quantity in the Bin (Search B) vs the sum of items to be shipped (Search A) to check if you have enough quantity. You may use VLOOKUP excel function in comparing the two search results. If the Bin On Hand/Available is less than the quantity to be shipped, user would need to change the Bin set on the Item Fulfillment (Picked/Packed) record.

Search A: List of items to be fulfilled

  1. Go to Lists Search > Saved Searches New
  2. Click Transaction
  3. Click Criteria tab
  4. Click Standard sub tab
  5. Filter:
  6. Select Type
    • Description: Select Item Fulfillment
  7. Select Internal ID (Number)
    • Description: Enter Internal ID
  8. Select Account Type
    • Description: Select Other Current Asset

6. Click Results tab
7. Click Columns sub tab
Select Item

Select Item Fields…

Item Field: Select Internal ID

Select Transaction Bin Number

Select Transaction Bin Quantity

8. Search Title: Enter Title 
9. Click Save and Run

Search B: Saved Search to check  the bin on hand/available if one item is being maintained on multiple bins.

  1. Go to Lists Search > Saved Searches New
  2. Click Item
  3. Click Criteria tab
  4. Click Standard sub tab
  5. Filter:
  • Select Bin On Hand Fields…
    • Bin On Hand Field: Select Bin Number 
  • Select Bin On Hand Fields…
    • Bin On Hand Field: Select Warehouse

6. Click Results tab

7. Click Columns sub tab

  • Select Internal ID
  • Select Name
  • Select Bin On Hand Fields…
    • Bin On Hand Field: Select Bin Number 
  • Select Bin On Hand Fields…
    • Bin On Hand Field: Select Warehouse
  • Select Bin On Hand Fields…
    • Bin On Hand Field: Select Available
  • Select Bin On Hand Fields…
    • Bin On Hand Field: Select On Hand

8. Click Save and Run

Following is an image of excel file showing items in an item fulfillment and its quantity to be shipped, quantity available on bin, Quantity on hand in Bin. This item fulfillment showed error message while marking as shipped as quantity available on bin is less than the transaction item quantity.

Transaction Bin Quantity should be less than the Quantity Available on Bin / Quantity on Hand in Bin.
