What is Cutover?

Cutover is the process of transitioning from one system to another.

Business Process Cutover Planning

  1. Customer end-user Preparation.
  2. Define and agree any documentation plan of any issues and resolution, including escalation process, communication process, and communication plans.
  3. Identification of key roles involved for each cutover activity.
  4. Timing and method to communicate completion of activities.
  5. Schedule for check-in meetings that should be coordinated between the Delivery team and Customer team.
  6. Customer support plan for Customer end-users.

Data Cutover Planning

  1. Final data migration of any deltas between UAT and this point (can be done manually or via CSV import).
  2. Entry of opening balances, open A/R and open A/P transactions, jobs, etc.
  3. Deployment of any scripts into Production.
  4. Test transaction clean-up.
  5. Sandbox refresh once PROD is considered in its final state.

Roles Involved

Customer: The Customer must validate and reconcile the data during data migration, agree to deliverables according to scheduled dates, and sign-off on the Go-live Checklist spreadsheet.

Functional Consultant: The Functional Consultant is responsible for managing the checklist, reviewing and filling in the information with the Customer to set expectations from the Data Strategy meeting until Cutover, and finally sending the sign-off email with the attached checklist to the customer.

Project Manager: The Project Manager constantly monitors the project and ensures all tasks have been completed for the customer to Go-live.
