Transaction audit trail

The transaction audit trail provides details about the transaction entered in NetSuite. The details such as who entered the transaction, when the transaction is entered, when it is modified and what all changes are made. To view the transaction audit trail,

Transaction>Management>view audit trail.

  • In the transaction audit trail page, select the users from the list or select all individually from the list. The result will show the transaction changes made by these users.
  • Select the actions that you want to know. The list of actions includes creating, change and delete. Select the actions needed by dragging the mouse. The result will show whether the users had created the record or deleted or made changes.
  • In the transaction date, select the date range for which you need the transaction result. Amount range can be selected in the amount tab. Select the type of transaction needed from the list.
  • Select the accounts affected by the transaction.
  • Select the entities involved in the transaction, in the ‘Name’ field. The entities may be vendors, customers, employees or other entities. If the inactive members needed to show in the list, check the show inactive box.
  • Click submit.

Audit results page

The audit results page will show the following columns:

  • Date/Time on which the transaction had changed
  • User name(The user who made changes)
  • Action(Create, change or delete)
  • Type(Transaction type)
  • Internal id
  • Document number
  • Transaction number
  • Post date
  • Account affected
  • Amount in the transaction

By default, NetSuite will sort the transaction by the internal id. If the result has to sort in any other order, click the column heading (If the result is needed in the order of date of action done, click the column).

The audit trail result cannot be saved. It can be export to csv, excel and can also take a print. If the audit trail results needed to save, then create a saved search on transaction system notes. In the Criteria tab, select the transaction type, transaction date and a system notes field. Under the criteria tab, select the system notes fields. Then save the transaction saved search. The result will show the changes made by the users on which date and in which record and also what all changes are made.
