A Trial Balance report is needed, that can show the YTD balance per accounting period in individual columns for a given range of periods. The standard trial balance is not available for running the YTD balance per accounting period in individual columns. If the NetSuite account is not oneworld or there is no consolidation in reports, then period-wise Trial balance can be generated by customizing the standard Income statement. The steps to customize the standard Income statement layout is:
- Navigate to Reports > New Financial Report.
- Click any Standard Income statement Layout.
- Delete other sections in a particular order from the below row.
- Click the “Add Row/Section” drop-down field.
- Select “Add Financial Section”.
- Click OK in the New Section Row pop-up window.
- In the New Section Row, set the following:
- Header Label: Enter preferred Name.
- Display: (Default) Expanded
- Group By: (Default) Account
- Show Hierarchy: Uncheck
- In the section tab, select the filter “Account Type”. Select All Account Types in the box.
- Click the Format subtab.
- Scroll down to the Account Row Format segment.
- Check the Reverse Sign box.
- Click “Edit Columns”.
- Click on the Amount column.
- Check the “Add Grand Total” box.
- Select the “Accounting Period” in the “View columns by” field.
- Click Save.
If the NetSuite account is oneworld or consolidation is using in reports, then the above solution will not work. Because consolidated trial balance has an additional row named “Cumulative Translation Adjustment” which shows the cumulative balance of the changes in converting the functional amount to the consolidated amount in reports. This row is available only in the trial balance and in the balance sheet consolidated report layouts. We cannot manually set up this row in the income statement layout. So we need to create separate trial balance reports for each financial year.
- Navigate to Reports > Financial > Trial Balance > Customize.
- In the “Edit Columns” subtab, add the below fields.
- Account
- Account Type (if needed)
- Subsidiary Name (if needed)
- Amount: Add twelve amount columns.
- Click on the first amount column and provide the below details.
- Alternate Period Range Type – Relative to today’s date.
- Alternate Period Range – Custom
- Periods – Select the first period in the financial year for which this report is customized.
- In the “Filters” subtab, hide the accounting period filter.
- In “More Options”, provide access to this report for all or specific users/roles.
- Provide a name to the report. The name should include the financial year for which the Trial balance is preparing.
- Click “Save”.
