Understanding Payment Instruments and Handling Mode

With the introduction of Payment Instruments in NetSuite, the process for handling payments on transactions has been enhanced and simplified. This explains the functionality of the Handling Mode field, which replaces the need for manually checking the Charge Credit Card and CC Approved boxes, and how it streamlines payment processing.

Handling Mode Field

The Handling Mode field appears on relevant transactions when you enable Payment Instruments in your NetSuite account. It offers different modes to manage how payments are processed or recorded based on the selected Payment Option. The available modes are:

  • Process
  • Record External Event
  • Save Only

Handling Mode Values

  1. Process
  • Purpose: Triggers payment processing through the selected payment gateway.
  • When to Use: Use this mode when you want to process the payment using the selected payment option and payment processing profile.
  • Without Payment Instruments: Payment processing was previously triggered by checking the Get Authorization box on a sales order or the Charge Credit Card box on other transactions.

2. Record External Event

  • Purpose: Records a payment event that occurred outside of NetSuite, such as an authorization completed through an external ecommerce platform.
  • When to Use: Use this mode to document external payment authorizations within NetSuite.
  • Without Payment Instruments: This was previously done by checking the CC Approved box.

3. Save Only

  • Purpose: Saves the transaction without triggering any payment processing.
  • When to Use: Use this mode if you want to save the transaction data without processing the payment.
  • Without Payment Instruments: This could be achieved by leaving the Charge Credit Card and CC Approved boxes unchecked.

The availability Handling Mode values is contextual and depend on the selected Payment Option.

Note that although the Charge Credit Card and CC Approved fields are no longer visible on the transaction after you enable Payment Instruments, the fields remain available for scripting.
