Updating PDF Templates with New NetSuite URLs

If you have been using URLs with domains like shop.netsuite.com or secure.netsuite.com in your PDF templates and they have stopped working, it’s likely due to NetSuite’s transition to account-specific domains. This guide will help you update your PDF templates to use the new app.netsuite.com domain format.

  • Step 1: Identify the Image Files
  • Navigate to Documents > Files > File Cabinet.
  • Locate the Image Files: Find the image files currently used in your PDF templates.

  • Step 2: Download the Existing Image Files
  • Download the Images: Click on each image file to download it to your local machine. This ensures you have a copy of the images before removing them.

  • Step 3: Remove the Existing Image Files
  • Delete the Images: In the File Cabinet, select the image files and click Delete. Confirm the deletion.

  • Step 4: Re-upload the Image Files
  • Upload New Images: Click Add File to upload the images you previously downloaded.
  • Save the Files: Ensure the images are saved in the appropriate folder within the File Cabinet.

  • Step 5: Get the New URLs
  • Locate the New URLs: After uploading, click on each image file to get the new URL. The URL should now use the format <accountID>.app.netsuite.com.

  • Step 6: Update the PDF Template
  • Open the PDF Template: Go to Customization > Forms > Advanced PDF/HTML Templates.
  • Edit the Template: Find the template you need to update and click Edit.
  • Replace Image URLs: Update the image URLs in the template with the new URLs generated after re-uploading the images.

  • Step 7: Test the Changes
  • Save the Template: After updating the URLs, save the changes to your template.
  • Generate a PDF: Use the updated template to generate a PDF and verify that the images are loading correctly.
