When a Sales order is backordered

When a sales order is backordered, it may not appear in specific saved searches in NetSuite due to criteria that exclude orders without fulfilled or partially fulfilled items. Here’s why:

  1. Backordered Status Exclusion: If the saved search is configured to display only fulfilled or partially fulfilled orders, backordered sales orders (which are entirely unfulfilled) will be excluded from the results. In NetSuite, a backorder status indicates that items on the order are not currently in stock and haven’t been fulfilled, so they are often omitted in searches that focus on fulfillment progress.
  2. Criteria or Filters in Saved Search: The saved search might have filters that exclude orders with a “Backordered” or “Pending Fulfillment” status. For example, if the search criteria specify orders with statuses like “Partially Fulfilled” or “Pending Billing,” then backordered orders won’t appear because they don’t meet these criteria.
  3. Item Availability Logic: Some searches are configured to show orders based on available inventory or items scheduled for fulfillment. Since backordered items are pending stock replenishment, these orders are excluded until inventory is available.

To include backordered sales orders in the search, you could adjust the criteria by:

  • Removing specific fulfillment status filters or including “Backordered” as a valid status.
  • Adding a custom formula to include orders where items are awaiting fulfillment due to backordering.

This way, even fully backordered sales orders can appear in the results, providing a more comprehensive view of open orders.
